WyoMicro Privacy Policy

Wyoming Women’s Business Center, doing business as WyoMicro (“WyoMicro,” “we,” “us,” or “our”), is a 501(c)(3) nonprofit organization and SBA microlender based in Laramie, Wyoming. WyoMicro is a registered tradename of Wyoming Women’s Business Center.

This Privacy Policy describes how we collect, use, disclose, and protect information when you visit wyomicro.org (the “Site”), submit information through the Site, or otherwise interact with us online.

By using the Site or submitting information through the Site, you acknowledge the practices described in this Privacy Policy.

1. Information We Collect

The information we collect depends on how you interact with WyoMicro and the Site.

A. Contact and Inquiry Information

When you contact us or submit an inquiry through the Site, we may collect information such as:

• Your name;

• Email address;

• Telephone number;

• Mailing address;

• Business or organization name;

• Information regarding your business or reason for contacting us; and

• Other information you voluntarily provide in your inquiry or communications with us.

B. Loan Intake and Eligibility Information

The Site may allow prospective borrowers to submit information for purposes of determining potential or preliminary eligibility for WyoMicro loan programs. In connection with a loan inquiry or intake form, we may collect:

• Your name and contact information;

• Information regarding residency, citizenship, or other eligibility status;

• Information regarding your existing or proposed business;

• Information regarding your financing needs;

• Business plans and other documents uploaded through the Site; and

• Other information requested to evaluate potential eligibility for WyoMicro programs.

Information submitted through an online intake or eligibility form may be stored in monday.com and used by WyoMicro in connection with its lending process, including preparation and administration of lending applications. The information may also be used to create and maintain technical-assistance and grant-reporting records, including records provided to the U.S. Small Business Administration. Submission of information through the Site does not constitute a loan application, loan approval, offer to lend, or commitment to provide financing.

If you proceed with a formal loan application, WyoMicro may request additional personal, business, financial, credit, or other information. Information collected during the formal application, underwriting, lending, or loan-servicing process may be subject to additional notices, disclosures, authorizations, agreements, and requirements under applicable law and SBA programs.

Unless specifically requested by WyoMicro through an appropriate method, you should not submit Social Security numbers, bank account numbers, payment card information, passwords, tax returns, or other highly sensitive personal or financial information through a general contact form.

C. Board Application Information

If you apply to serve on WyoMicro’s board of directors, we may collect information submitted through the board application process, including:

• Your name and contact information;

• Current employment and professional information;

• Nonprofit, board, volunteer, and other relevant experience;

• Education, skills, qualifications, and areas of expertise;

• Information regarding your interest and motivation in serving on the board;

• Information regarding your availability and ability to meet applicable time commitments;

• Resumes, curricula vitae, and other documents submitted with your application; and

• Other information you voluntarily provide as part of the application process.

Board applications are reviewed by WyoMicro’s board president, vice president, and governance committee. Application materials for individuals selected to serve on the board may also be provided to WyoMicro’s SBA team as required in connection with WyoMicro’s funding.

D. Donation Information

If you make a donation through the Site, WyoMicro may receive information associated with your donation, including your name, telephone number, mailing address, donation amount, and other non-payment information you provide in connection with the donation.

Donations made through the Site are processed through GiveButter. GiveButter collects and processes payment information, including credit or debit card numbers and related payment credentials, directly. WyoMicro does not receive or store donors’ credit or debit card numbers or other payment credentials. Information submitted directly to GiveButter is subject to GiveButter’s privacy policy and terms.

E. Newsletter and Communications Information

If you sign up for our newsletter, email list, programs, events, or other communications, we may collect your name, email address, communication preferences, and other information you provide when registering.

WyoMicro may also use Kajabi to provide educational programs or educational content. If you register through Kajabi, WyoMicro and Kajabi may collect your name, email address, and county of residence. WyoMicro’s current educational offerings through Kajabi are provided without charge, and Kajabi is not used by WyoMicro to collect payment information for those offerings.

F. Information Collected Automatically

When you use the Site, we and our service providers may automatically collect certain information regarding your visit and interaction with the Site, including:

• Internet Protocol (IP) address;

• Browser type;

• Device and operating system information;

• Pages visited;

• Referring and exit pages;

• Date and time of visits; and

• Other information regarding use of and interaction with the Site.

We may collect this information through cookies, Google Analytics, and similar technologies.

2. How We Use Information

We may use information collected through the Site to:

• Respond to general inquiries and requests;

• Provide information about our programs and services;

• Provide and administer business counseling, training, workshops, and other educational or support services;

• Evaluate preliminary eligibility for WyoMicro loan programs;

• Communicate with prospective borrowers and administer our loan programs;

• Process and maintain information concerning donations;

• Evaluate prospective board members and administer the board application and selection process;

• Send newsletters, program updates, event information, and organizational communications when you have elected to receive them;

• Operate, maintain, secure, and improve the Site;

• Analyze how visitors use the Site;

• Maintain appropriate business and organizational records;

• Prevent fraud, misuse, security incidents, and other unlawful activity;

• Comply with applicable laws and regulations;

• Satisfy SBA, grant, funding, contractual, reporting, audit, compliance, and program-evaluation requirements, including preparation and maintenance of technical-assistance records concerning borrowers, borrower information, and time spent providing or communicating about technical assistance;

• Protect WyoMicro’s rights, property, operations, and legal interests.

We may also use information for other purposes disclosed to you at the time the information is collected or with your consent.

3. How We Disclose Information

We do not sell personal information collected through the Site.

We may disclose personal information in the following circumstances:

A. Service Providers

We may disclose information to vendors, contractors, consultants, and other service providers that perform services on our behalf, including website hosting, website administration, analytics, email communications, payment processing, information technology, data storage, and other operational services.

Our current website and communication providers may include:

• Google Analytics - website usage and analytics;

• Kit - email newsletter and communication management;

• Wix - website hosting and online forms; and

• GiveButter - donation and payment processing;

• monday.com - storage and administration of loan intake, lending, technical-assistance, and grant-reporting information;

• Kajabi - educational program registration and delivery, including collection of names, email addresses, and county of residence.

These providers may collect and process information in accordance with their own privacy policies and terms.

B. SBA, Governmental Agencies, Funders, and Program Partners

As an SBA microlender and nonprofit organization, WyoMicro may disclose information to the U.S. Small Business Administration, other governmental agencies, funders, lenders, contractors, nonprofit organizations, or other program partners when reasonably necessary or required for program administration, eligibility determinations, reporting, compliance, auditing, funding requirements, program evaluation, or provision of services. Information associated with loan intake and borrower assistance may be included in SBA technical-assistance or grant-reporting records and may include borrower-identifying information, information concerning the borrower or business, and records regarding the nature and amount of time WyoMicro spends assisting or communicating with the borrower.

Information submitted through an SBA system or another third-party program or platform may also be subject to the privacy policies, notices, and requirements applicable to that system or platform.

C. Legal and Organizational Purposes

We may disclose information when:

• Required or permitted by law, regulation, subpoena, court order, governmental request, or other legal process;

• Necessary to enforce our rights or agreements;

• Reasonably necessary to detect, investigate, or prevent fraud, security incidents, or unlawful conduct;

• Reasonably necessary to protect the rights, property, operations, or safety of WyoMicro or others; or

• Necessary in connection with a reorganization, merger, transfer of operations, or similar organizational transaction.

D. At Your Direction

We may disclose information when you authorize or direct us to do so.

4. Cookies and Analytics

The Site may use cookies and similar technologies to provide Site functionality, understand how visitors use the Site, and improve our services.

We use Google Analytics or similar analytics services to collect information about Site usage. These services may use cookies or other technologies to collect information about your use of the Site.

You may be able to limit or disable cookies through your browser settings. Disabling cookies may affect the availability or functionality of certain Site features.

5. Third-Party Websites and Services

The Site may contain links to websites, applications, payment processors, social media platforms, or other services operated by third parties.

WyoMicro does not control the privacy or security practices of third parties. Information you provide directly to a third party is governed by that third party’s privacy policy and terms. We encourage you to review the privacy policies of third-party services before providing personal information.

6. Data Retention

We retain personal information for as long as reasonably necessary to fulfill the purposes for which it was collected, administer our programs and operations, satisfy applicable legal, contractual, SBA, grant, funding, reporting, audit, and record-retention requirements, resolve disputes, and protect our legal rights.

Retention periods may vary depending on the nature of the information and the purpose for which it was collected. For example, information concerning loan inquiries or applications, donations, program participation, and organizational records may be retained based on applicable operational, legal, contractual, SBA, grant, funding, and recordkeeping requirements. Board applications and resumes or curricula vitae for applicants who are not selected are generally retained in WyoMicro’s shared drive for approximately two years. For individuals selected to serve on the board, WyoMicro generally retains their application materials during their board service and may provide those materials to the SBA team as required by applicable funding requirements.

7. Your Choices

You may unsubscribe from marketing or newsletter communications at any time by using the unsubscribe link contained in those communications.

You may also contact us to request access to, correction of, or deletion of personal information you have submitted through the Site. We will consider and respond to such requests as appropriate, subject to applicable legal, contractual, SBA, grant, program, and record-retention requirements.

8. Data Security

We use reasonable administrative, technical, and organizational measures designed to protect information collected through the Site from unauthorized access, use, alteration, or disclosure.

However, no website, electronic transmission, or data-storage system can be guaranteed to be completely secure. You should use appropriate care when transmitting personal or confidential information electronically.

9. Children’s Privacy

The Site and WyoMicro’s programs are not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the Site.

If we learn that we have collected personal information from a child under 13 without appropriate authorization, we will take reasonable steps to delete the information.

10. Nonprofit and SBA Program Information

WyoMicro is a 501(c)(3) tax-exempt organization and an SBA microlender. Information collected in connection with WyoMicro’s programs may be used or disclosed as reasonably necessary to satisfy grant, funding, SBA, governmental, program-administration, reporting, compliance, audit, and evaluation requirements.

Participation in an SBA-related program or submission of information to WyoMicro may be subject to additional privacy notices, disclosures, authorizations, or requirements applicable to that program.

11. Changes to This Privacy Policy

We may update this Privacy Policy periodically to reflect changes in our practices, programs, technologies, or legal requirements. The Effective Date at the top of this Privacy Policy reflects the date of the most recent revision.

Your continued use of the Site following the posting of an updated Privacy Policy is subject to the then-current version of the Privacy Policy.
